OP Conference Room System Instructions.
Instructions for the new conference room systems in 298 and 259. Please follow the highlights in the instructions below that correlate to the pictures.
When you have a meeting in room either 298 or 259 and meet with others who are off campus you must use MS Teams for the room system to work. Zoom does not work with the system.
When sending the Teams meeting invite, be sure to invite the room to the meeting. The screens in those room currently say, “OP Room 298 and OP Room 259,” but those are not the rooms you invite to the meeting (I’m trying to get the room name on the screen updated.) For room 298 Invite, “OUON Conference Room 298” and for the huddle room 259, invite, “OUON Classroom 259.” See picture below. Once you invite the room, it auto fills the location to that room. Note on the invitation to also invite, OUON Room Calendar; that is our master calendar name and should be added to all invites that meet in any OP room.

Pic below shows an example of the invitation to meeting that people receive. Note that the Meeting ID and Passcode is listed in the invite. Whoever gets to the conference room first can click start meeting on the system’s table device and then enter that ID and Passcode if it’s needed.
